A Standard Operating Procedure, or an SOP, is a document that outlines the best way to complete a process to improve consistency in operation. It aims to standardize the way work is performed, save time, train workers, and ultimately produce a more consistent product or service. Writing an SOP involves writing down all of the activities that lead to the completion of the process or task and noting down the other information necessary for the job.
An SOP doesn’t need to be complex. In fact, it should be as concise as possible and include only the details that are important for the work to be done. Always use simple words, short and direct sentences, and a language people can easily understand. Use visuals whenever possible to communicate information clearly and effectively. Examples of visuals that can be included in SOPs are should-be process maps and pictures of how things should be arranged.
This template is a Microsoft Excel spreadsheet that you can use and modify to suit your specific needs. It can be easily modified to include additional sections based on your industry and the specific work being performed. For example, you may add the list of resources, materials and tools required to complete the process. You may also add the technical specifications, health and safety controls, process pre-checks, and the training and competency requirements of the operators.
